01 · The season

The letter that goes out every year

If your renewal letter was written once and has been touched since only where the date and the amount changed, the benefits sit in a list of nouns: advocacy, education, networking, discounts. A member reads the list, then reads the amount.

If dues went up this year, that bigger number arrives with no reason beside it. The board may ask why the renewal number moved, and a member may reply to ask what the rise pays for.

None of this says your benefits are weak. The letter may not show the ones members use.

For scale: if one member’s yearly dues are more than USD 249 {GBP 199 | EUR 229}, the letter costs less than one renewal. I can’t promise it keeps anyone. It makes the case your members read.

  • What changes: Benefits named by what members used last year, not by category. The dues rise is explained in one sentence.
  • Where it comes from: Annual report 2025, advocacy page, 2027 dues table, board decision.
  • What stays word for word: Your deadline, your payment link and the lobbying line.

Where your material doesn’t support a line, you get a “to confirm” question instead of a guess, as above. A source shows where a line comes from. It doesn’t prove the line true, which is why the open ones come to you.

Every document carries one of three labels: Draft (the first version, with open questions marked), Facts confirmed (every “to confirm” answered) and Approved (the final version you approved).

  1. “advocacy, education, networking, discounts and more” names categories, not anything a member used. Your annual report, page 6, counts the subcontracts your contract desk checked. Name that instead.
  2. “Your 2027 dues are now due” gives the new amount with no reason beside it. If the board approved the rise for a reason, put that reason in one sentence next to the amount.
  3. “Thank you for being part of” opens on the association. Open on one thing the member got from it last year.

04 · What you get

Everything in the sample, done on your letter

  1. The letter. Your renewal letter, or the next reminder if the letter has gone, up to about 600 words, tied to your real dues and the benefits members use. Plain text, plus HTML ready to paste into your AMS.
  2. The benefits block. The top benefits block of your join or benefits page, about 150 to 200 words, so a member who clicks through reads the same story.
  3. Board Summary. One page: what changes, why, where it comes from and what stays word for word. Forward it as it is.
  4. Voice notes. Drawn from your last 3 member emails, so the new letter sounds like the ones members already open.
  5. Two rounds of written changes. One combined list per round.

If dues went up. The sentence that explains the rise comes in 5 tones, from plainest to warmest. The reason in it is yours, from your dues table or a board decision. I never supply one.

What you don’t do. You don’t write, and you don’t hunt for facts. You send the letter as it stands and point me to your material. Your AMS still sends the letter on time and with the right amount. The words in it are the part I take on.

05 · Timing

When the draft reaches you

Walk in with a reason. A younger association communications manager enters a meeting carrying the board summary.
  1. Today. Send the form: your letter or a link, your website, who approves this (a person, a committee or the board), and the date your notice goes out. About 5 minutes.
  2. Within 1 UK working day. I reply with your start date and up to 6 questions. The start date tells you, before you do anything else, whether the draft can reach you before your notice date. If it can’t, I say so and you decide.
  3. 3 UK working days after your brief is complete. Your first draft arrives with the Board Summary, marked Draft. The clock starts when I confirm in writing that your brief is complete. Until then, a start date is only a booking. The sooner your answers come back, the sooner the draft does.
  4. Your decision. Two rounds of written changes, then your board decides.

06 · How paying works

Nothing to pay until you approve it.

Take the draft to your board first. Your board can take up to 45 days from the final draft to decide. If it meets later than that, we fix the meeting date when we start and your deadline moves to match.

If you don’t approve it after two rounds of changes, you owe nothing and the copy can’t be used.

On a first job, the invoice comes when you approve and is due in 7 days. With a purchase order, it can be up to 30 days.

I can’t promise your renewal rate. That depends on your members, your pricing and your timing. I answer for the work.

The letter plus 5 reminders (60, 30 and 7 days, due date, grace notice) and 2 win-back emails for members who lapse, in one voice. If your letter has already gone, the series is the remaining reminders, the 2 win-backs and next season’s letter.

Within 1 UK working day of your letter payment arriving, I send you a written date for each draft, set against your remaining send dates.

Season invoice one, when you approve the letter: USD 249 {GBP 199 | EUR 229}, which covers the letter. Invoice two, when you approve the other seven pieces: USD 1,041 {GBP 791 | EUR 921}, which covers those seven pieces. The two invoices add up to the season price, USD 1,290 {GBP 990 | EUR 1,150}.

The other seven pieces start when invoice one is paid, with one round of written changes each. If you approve the letter and stop there, you pay the letter price and nothing more.

You can choose the larger option when you start, or within 14 days of approving your first job. What you paid for the first job counts in full. Season total USD 1,290 {GBP 990 | EUR 1,150}, which includes the letter you already paid. You pay the rest, USD 1,041 {GBP 791 | EUR 921}, when you approve the other seven pieces.

Card or bank transfer. Prices are fixed in USD, GBP and EUR. Your invoice is in the currency you choose on the start form.

We need a PO or a supplier form.

Put your PO number in the start form’s purchase order field and it goes on the invoice. Send your supplier form and I’ll return it within 1 UK working day.

Our letter is longer than 600 words.

A longer package counts as two jobs, and I say so in writing before I start.

Do you do calls?

No. Every answer is in writing, on record for your board, and you reply when it suits you. I reply within 1 UK working day.

Why not our AMS templates or ChatGPT?

You can draft it with AI, and I do too. What you pay for is the check: every line tied to your own dues and benefits, with a summary your board can approve.

Our notice has a lobbying line.

I keep it word for word and flag it. Tax wording stays with your accountant.

What if we send it by mistake before we decide?

If copy goes live by mistake and comes down within 5 UK working days, I cancel the invoice.

Do you need member data?

No. I work from your public pages, the letter, your dues, the benefits members use most and anything else you choose to send. I never ask for member lists or records.

We’re in the US and you’re in the UK.

That works. You pick USD, GBP or EUR on the start form, and everything happens by email, so time zones hold nothing up.
